Integration Guide

Already on BoardDocs? Add AI minutes.

BoardDocs manages your board portal and agenda documents. Govably adds the one thing most platforms are still perfecting: AI that writes complete, official meeting minutes — in minutes, not hours.

How it works together

Your BoardDocs workflow stays exactly as it is. Govably handles only the minutes step.

Step 1

Run your board meeting

Use BoardDocs for your agenda documents and trustee portal. Record the meeting on Zoom, YouTube, or any platform you already use.

Step 2

Bring in the transcript

Paste a transcript, upload a recording, or provide a URL. Govably accepts any source — no special BoardDocs integration or IT setup required.

Step 3

AI writes the minutes

Govably generates complete, formatted official minutes — motion numbers, per-trustee votes, consent agenda, public comment, adjourn — ready to review and file.

What you get

What Govably adds to your BoardDocs setup

Complete minutes, not summaries

Govably writes full official minutes — with consent agenda handling, per-trustee vote records, motion language, public comment documentation, and executive session language formatted exactly as your district requires.

Automatic minute order numbers

Every action item gets a sequential MO number assigned automatically. No manual tracking, no renumbering when items shift, no errors in the official record that your board secretary has to correct.

Ready to file the same night

What used to take 3–5 hours now takes under 30 minutes. Review the AI draft, make any edits, export to PDF. Your clerk or executive assistant leaves the same night the meeting ends.

Who adds Govably to their BoardDocs setup

Board secretaries and executive assistants who spend 3–5 hours writing minutes after every meeting, even with a recording
Districts whose current AI tool produces a summary instead of structured, numbered official minutes
Boards that need consent agenda, executive session, and per-trustee votes captured correctly in the official record
ISDs and school boards recording on Zoom or YouTube who still type up minutes from notes or memory
Any board secretary who wants to leave the building the same night the meeting ends
Common questions

Using Govably with BoardDocs

Can I use Govably without canceling our BoardDocs contract?
Yes. Govably works independently — there is no integration required and no conflict with your existing BoardDocs setup. You keep using BoardDocs for trustee document access, board policy management, or whatever else you rely on it for. Govably only handles the minutes step.
Does BoardDocs not already produce minutes?
BoardDocs helps you manage agenda documents and board materials. Writing official minutes is still a manual task for most districts — the board secretary takes notes or works from a recording after the meeting. Govably takes your meeting recording or transcript and builds complete official minutes: structured motion language, per-trustee vote records, consent agenda handling, executive session language, and proper numbering throughout.
Does Govably handle consent agendas and executive session?
Yes. Consent items are grouped and voted as a block in the minutes. Executive session items are flagged with the relevant statutory citation and handled with appropriate language in the official record. The AI knows the difference between a consent vote and an individual action item — you review and confirm, not rebuild from scratch.
How quickly can our district start?
Most districts are generating AI minutes within a week. We configure your trustee list, agenda sections, and numbering format during onboarding. Your BoardDocs setup is untouched — Govably is additive, not a replacement for any part of your existing workflow.
